Pricing private and group tours by party size and season
Each tour in TourTask has its own prices, for private bookings, group bookings or both. Your booking widget, the backoffice and online travel agencies all use them. To sell at other prices to other customers, such as national visitors, add a price list.

Pricing a private tour
Open the tour under Tours → Manage, go to Private tour → Pricing and choose a Pricing mode:
- Per person: one Price per person that every passenger pays.
- Formula: a Base for the tour, plus an Extra per passenger. See formula pricing.
- Tiered: a price per range of party sizes, Per person or Per group. See tiered prices.
Minimum passengers is the fewest passengers a booking pays for; the default is your Min. pax charged for private tours, under Configuration → Bookings.
With Per person, a party smaller than the minimum pays for the minimum: 2 people on a minimum of 6 pay 6 times the price, so 3 times the price each. With Smaller parties cannot book, such a party cannot book at all. A new tour starts with Formula.
Pricing a group tour
Group tour → Pricing has the same Pricing mode. With Per person, which a new tour starts with, every passenger pays the same price, with no minimum. To price each booking by its own number of passengers instead, choose Formula or Tiered. Priced this way, a booking can also have a minimum: under Minimum passengers, choose Custom instead of No minimum. Going back to Per person asks first when the tour was saved priced by booking size.
Prices on tour cards
The tour cards of your booking widget and the tour tiles of your website show a private tour priced Per person at its price per person, with a short line such as Min. 6 under it when the party is smaller than the minimum; its info icon explains that a smaller party still pays for 6, or that the tour cannot be booked for fewer. The tour's page, the cart, checkout and e-mails show what each passenger really pays. Where a tour's prices differ, by variant or by season, they read From … with the lowest price, never a range.
Variants and add-ons
For versions of a tour with their own prices, such as Half-day and Full-day, click Add variant under Variants in the tour editor: see tour variants. Add-ons, such as lunch, are priced like tours under Tours → Add-ons.
Child prices: age groups
Set each age group's ages and discount off the Adult price under Configuration → Bookings, in Age groups: see Age groups.
Seasonal prices
Seasons give date ranges their own prices, such as summer and winter prices, for all tours or selected ones. The full guide is seasonal prices.
- 1
Add a season
Go to Tours → Seasons, click Add season group and set its dates. Tick Repeats every year for seasons that come back every year.
- 2
Enter its prices
Open the season, enter its prices and click Save.
Add agent on the same page gives agents and agencies seasons and prices of their own.
Interval price adjustments
An interval price adjustment raises or lowers prices by a percentage for a date range, on top of any season price: +20% for a holiday week, for example. Add one under Tours → Interval Price Adjustments: see interval price adjustments.
Promo codes
Under Bookings → Promo codes, each code gives a Discount or a Deposit option, which lets the customer pay part now and the rest later. Customers type the code at checkout, or open a link or QR code that enters it.
Questions we get asked
It has no price for that date or party, so customers can't book it. Usually the tour is priced by seasons and no season covers the date, or its price in that season is empty: enter it under Tours → Seasons. Or the customer's price list has no price for it. After you change a tour's Pricing mode, a season may also need prices in the new mode. To save such a booking in the backoffice, set its price with Edit price.
Yes, except on a list set to prices before tax. Enter every price including tax; on a price list with Prices on this list don’t include tax on, enter its prices before tax and TourTask adds the tax when it prices. Once you add a tax rate under Configuration → Taxes, TourTask shows how much of each price is tax; your prices don't change.
No, never on bookings from online travel agencies. To lower prices there for some dates, use an interval price adjustment with only OTAs ticked.
This page covers the prices you charge. What TourTask costs is on the pricing page.
