How to set up pickups at the lodging or at pickup locations

Each tour picks its travellers up in one of three ways. It decides what customers are asked when they book, and what your guides see.

No pickup

Customers come to the start. They are asked for neither a lodging nor a pickup location.

Pickup at the lodging

Customers say where they are staying when they book. They may leave it empty and tell you later.

Pickup at a pickup location

Customers choose one of your pickup locations when they book, such as your office or a square.

Set the default for your tours

  1. 1

    Open Configuration → Bookings

    The Pickup card is there.

  2. 2

    Choose the default

Under Default for tours, choose No pickup, Pickup at the lodging or Pickup at a pickup location. It is saved at once.

The Pickup card on Configuration → Bookings

Every tour follows this default until you give it its own. With pickup at the lodging, Lodging search area limits where customers can search for their lodging (it is set per service area), and Manage custom lodgings adds places the search doesn't find.

Add pickup locations

  1. 1

    Click Add

In the Pickup card, click Add beside Pickup locations. While you have none, the Add pickup location button under the option does the same.

  2. 2

    Describe the place

Write its Name and a short Description, such as when to be there. Latitude and Longitude put it on a map for customers.

  3. 3

    Click Create

To change or remove a location later, click it in the list.

A new pickup location, before Create

Pickup at a pickup location can be chosen once you have one. Your last pickup location can't be removed while a tour picks up at one.

Give a tour its own pickup

Open the tour under Tours → Manage and click Pickup. Choose one of the three, or Business default, which follows the card above. It is saved at once, for the tour's private and group bookings and all its variants.

A tour's Pickup section, following the business default

Bookings already made keep the places they hold. A copy made with Duplicate tour keeps the original's pickup.

What customers are asked

  • On your website, checkout asks for the lodging when a tour in the cart picks up there. It asks for a pickup location when one picks up at a pickup location, and the customer must choose one.
  • A cart with tours of both kinds asks for both.
  • Bookings you enter yourself, and bookings from online travel agencies, are saved even without the place: the operations calendar shows what is missing.
  • The TourTask Sales app asks for the lodging only.

What your guides get

  • The operations calendar, the passenger list and the staff reminders show each booking's lodging or pickup location, as its tour picks up.
  • In TourTask Crew, a job shows its pickup place. On a group tour, the guide can follow the pickup route, its stops in order.
  • On a group tour, Pickup duration in minutes, under Schedule, sets how long the pickup lasts before the tour starts.

Questions we get asked

Yes. The lodging is optional, so they can tell you later. A pickup location is required on your website.

No. A tour's pickup covers its private and group bookings and every variant.

You have no pickup location yet. Click Add pickup location under the option: on a tour, it opens Configuration → Bookings in a new tab.
