Creating and editing tours in the TourTask tour editor

Every tour you sell is set up in the tour editor. Go to Tours → Manage, then click a tour to edit it, or Create tour to add one.

The tour list

Tours → Manage lists your tours by category, each with its prices for an example number of passengers.

The tour list, with example prices for 2 passengers.
  • Public or Not public: whether customers can see and book the tour.
  • A red Unavailable: the tour is sold neither as a private nor as a group tour.
  • Example price: choose a number of passengers, and Show per person price or Show total price.
  • Drag a tour by its handle to reorder it, or into another card to move it to that category.

The sections of the tour editor

The list on the left holds the tour's sections: click one to open it. A warning icon beside a section marks something missing, such as a name or a duration.

The sections of a tour.
  • Name and descriptions: the name and two descriptions, in each of your languages.
  • Images: the main image and the gallery.
  • Itinerary: the stops, shown to customers as a timeline and a map.
  • Age groups: who counts as an infant, a child, a youth or a senior on this tour.
  • Variants: versions of the tour, each with its own prices.
  • Group tour and Private tour: how each kind of tour is sold.
  • Items and Add-ons: what is included and paid extras.
  • Other settings: Public, and Shore excursion if you sell to cruise passengers.
  • Resources: the equipment and staff the tour uses.

Private tour and group tour

A tour sells as a private tour, a group tour or both. Switch on Available as private tour or Available as group tour, and that kind gets four sections of its own:

SectionWhat you set
Booking rulesThe cut-off and confirmation, or the business default
PricingIts prices: see tour pricing
ScheduleIts duration, start times and the days it runs
ComponentsThe guides and vehicles it needs

Setting the schedule

Each kind of tour has its own Schedule. With Always, it runs on the weekdays of its start times all year; with Periods, only between the dates you set, such as a summer season.

A private tour's schedule.
  • Duration: how long the tour runs.
  • Start times: click Add start time, then the weekdays that start time runs on.
  • Days in month: Any day, Odd days only or Even days only.
  • Capacity, on a group tour: the seats of a departure, shared by all its bookings.

Saving your changes

Save saves every section at once. When you changed a text that exists in your other languages too, TourTask then asks Translate your changes?: Translate my changes replaces those languages with a translation, Keep the other languages as they are leaves them.

Copying a tour

  1. 1

    Open the tour's menu

Click the three dots at the top right of the tour, and choose Duplicate tour.

  2. 2

    Name the copy

Name of the copy starts with “Copy of” and the original's name: change it if you like.

  3. 3

    Choose what to copy

Untick what the copy should not have under What to copy, then click Duplicate tour.

The copy starts hidden

Switch on Public under Other settings once the copy is ready to sell. Later changes to the original never reach the copy.

Questions we get asked

A start time that has a booking on it stays when you save, and can still be booked. Move those bookings to another time first: cancelling them is not enough.

Choose Remove tour in the menu at the top right of the tour.

Yes. On the Create tour page, choose Start from an existing tour: it copies a tour the same way Duplicate tour does.
