Lodging: where customers stay and selling hotel stays

TourTask keeps two kinds of lodging on a booking. They are separate: selling a room doesn't fill in where the customers stay.

Where customers stay

Their hotel or address, so your guides and drivers know where to pick them up.

Stays you sell

Hotel rooms you resell with your tours, at your own mark-up.

Where customers stay

Customers are asked where they stay for the tours that pick them up there: choose Pickup at the lodging under Configuration → Bookings → Pickup for all your tours, or in one tour's own Pickup section (see Pickups). Your website's checkout then asks them where they stay, and the Passengers section of the booking form has a Lodging field.

  • Type at least four letters: the field finds hotels through Google, in your service area's lodging search area if it has one, and your own places.
  • Add a place Google doesn't know under Manage custom lodgings, with its address and map position.
  • Your guides and drivers see the lodging in their reminders and in the pickup route of TourTask Crew, and partner hotels see their guests in Lodging pax.

Sell hotel stays

  1. 1

    Add the lodging

Go to Bookings → Lodgings to sell, click Create new lodging and type its Name.

  2. 2

    Choose its currency

Pick the hotel's Currency: you enter its room costs in it.

  3. 3

    Enter the room costs

Under Seasons, set the From and To dates and the Room costs: what the hotel charges you for one room and night, as a Single, a Double, a Triple and so on. Add season adds the next period.

  4. 4

    Add room types

For a hotel with several kinds of room, click Add room type and give each its Name.

  5. 5

    Save

    Click Create.

Your mark-up

The Mark-up card on the same page sets what you earn on every stay: a Percentage on the room costs, plus fixed additions per booking, per person, per night, or per person and night. Click Edit to change them.

Add a stay to a booking

  1. 1

    Set the dates

In the booking form, enter the dates under Arrival and departure: the stay runs from one to the other.

  2. 2

    Add the lodging

In the Lodging section, click Add lodging and pick the hotel. Each shows its price per person; No season found means its seasons don't cover your dates.

  3. 3

    Set the rooms

Choose the Room type, if there are several, and how many people sleep in each room (Pax). Add room adds one.

  4. 4

    Mark the hotel paid

Book the room with the hotel yourself. Once you have paid it, switch on Lodging paid: until then, the operations calendar shows the stay as unpaid, with its Cost.

A stay keeps its price

A stay keeps the price it was sold at. If the hotel's rates, your mark-up or the exchange rate change, its card shows the difference with an arrow, and Update to current price applies today's price. Changing the hotel, the rooms, the dates or the passengers prices the stay again.
