Tour bookings: see, search and organize every booking
A booking is a customer's purchase of tours, add-ons or rentals for given dates. Wherever it was made, it is listed under Bookings → View and changed in the same booking form.
Where bookings come from
Your website
Customers book and pay in your booking widget.
Travel agencies
Viator, GetYourGuide and others, through the channel manager.
Your staff
Create a booking by hand or from a conversation.
TourTask Sales
Your sellers book on the go in the Sales app.
AI assistant
Your AI assistant books in the chat.
Import
From a spreadsheet or another booking system, with Bookings → Import.
Booking statuses
A booking's status follows its payments, and each row's colour in the list shows it.
Not confirmed
Waits for you to confirm it, and the customer can't pay yet: see Confirm bookings.
Unpaid
Confirmed, and waiting for the customer's payment.
Deposit paid
Part of the price is paid.
Paid
Paid in full. A booking whose total is 0 is paid too.
A cancelled booking frees its places, and the list hides it unless you ask for it. How payments move the status: see Payments and refunds.
Find a booking
Bookings → View opens on the bookings created in the last 90 days, newest first.
- Search bookings… finds any booking, cancelled ones too, by its name or number, a passenger's name or the contact's e-mail.
- Filters narrows the list by Status, Cancelled bookings, Distribution channel, dates, Created by, Contact or Agency.
- A row's menu (⋮) opens Quick view, a summary with the passengers' details, or Manage booking, to change it.
Tags
A tag is your own label for bookings, such as VIP or Honeymoon, to pick them out later.
- 1
Create the tag
Open Bookings → Tags, click Create new tag, type its Name (20 characters at most) and click Save.
- 2
Tag a booking
In the booking's Booking section, click Add tag, choose the tag and Save the booking.
- 3
Filter by it
On the Operations calendar, choose Filter → Tags in the actions menu, then the tag: only the bookings that carry it stay.
New-booking alerts
While TourTask is open in your browser, each new booking, from any channel, and each payment brings an alert with a sound. Your own actions never alert you.
Switch them on or off on your Settings page (the icon beside your name, top right): New booking alerts, Payment alerts and Alert sound. Enable browser notifications shows them while TourTask is in the background.
