Booking vouchers, QR codes and marking bookings as used

Customers get a voucher for each tour they book, with a QR code that opens their booking page. Mark a booking as used when they show up, to know who came.

The voucher

A voucher is a PDF ticket for each tour of a booking, in the customer's language.

  • It shows the tour, its date, time and passengers, the booking's status and the customer's lodging, then what is included and what to bring, your contact details, your tour information and your terms.
  • The booking confirmation and payment confirmation e-mails attach it.
  • Tour vouchers, at the top of the booking's Booking section, downloads it in the language you choose.
  • Bookings from travel agencies and agents get vouchers without a QR code.
Tour vouchers, in the language you choose, and the customer's Public page.

The booking page

The QR code and every booking e-mail lead the customer to their booking page: the booking's details, what is left to pay, and where to pay it. Public page, beside Tour vouchers, opens it in any of your languages, as the customer sees it.

Customers can't cancel or change a booking there: they ask you.

Mark bookings as used

  1. 1

    Switch it on

In Configuration → Bookings, under Used bookings, switch on Let staff mark bookings as used.

  2. 2

    Mark a booking

When the travellers show up, open the booking and click Mark as used in its Status box. It is saved at once.

  3. 3

    Undo a mistake

The box then says when, and by whom, the booking was used. Undo takes it back.

The setting that lets your staff mark bookings as used.
  • A booking can be marked from its first day, once it is confirmed. Its status and payments don't change.
  • Viator, Civitatis and other agencies that read bookings from TourTask see that it was used.
  • While the setting is on, the voucher shows its QR code beside the tour, with Show this QR code at the start of your tour.
GetYourGuide bookings stay used

When you mark a GetYourGuide booking as used, TourTask tells GetYourGuide and refuses its later cancellations of that booking. GetYourGuide can't undo it, so Undo is no longer offered once it has been told.

Scan tickets in TourTask Crew

While the setting is on, your guides can mark bookings as used by scanning the voucher's QR code with Scan tickets in the TourTask Crew app.

Questions we get asked

Resend booking confirmation, in the menu (⋮) at the bottom of the booking form, e-mails the confirmation with its vouchers again. Or download them with Tour vouchers and send them yourself.

The setting is off, the booking isn't confirmed yet, or its first day hasn't come: the Status box then says from which date it can be marked.
