How to confirm or decline bookings that need confirmation
A booking that waits for you has the status Not confirmed, and its customer can't pay until you confirm it.
Why a booking waits
- Its tour is set to Always manually confirm, or to Manual only for new departures and the booking opens a new departure.
- It was booked after the tour's cut-off.
- Its date is blocked without Hard block on storefront.
- It goes over a daily limit of tours.
- It is a private tour on a date outside the tour's schedule.
- It needs a resource that is used up and set to Accept booking requests on the website.
- You set it to Not confirmed yourself, because you weren't sure you could offer the services.
You set these rules under Tours → Blocked Dates & Cut-Off: see blocked dates and cut-off.
Confirm or decline a website booking
A booking made on your booking widget shows Confirm and Decline in its Status box.
- 1
Find the bookings that wait
In Bookings → View, open Filters and set Status to Not confirmed.
- 2
Open the booking
Choose Manage booking in its row's menu (⋮).
- 3
Confirm it
Click Confirm, leave Email the customer ticked, and click Confirm again. The customer gets an e-mail with a link to pay.
- 4
Or decline it
Click Decline if you can't offer the services, write a Note for the customer if you like, and click Decline again.
Declining frees the places and charges nothing, and a declined booking can't be reactivated. A booking with payments can't be declined: refund them first, or cancel the booking.
Confirm any other booking
A booking made in the backoffice, imported, or made with the Sales app or the AI assistant has no Confirm button. Set its status from Not confirmed to Unpaid and click Save. The customer isn't told: send them the address of its Public page, where they can pay.
On-request bookings from travel agencies
Civitatis and other resellers connected through OCTO can sell a tour you confirm yourself, as a request; Viator and GetYourGuide can't sell it at all. A request arrives Not confirmed, with Accept and Reject in its Status box.
- Accept confirms the booking and records the agency's payment.
- Reject declines it, with an optional Note. It can't be undone.
Answer before the booking's cut-off: TourTask then rejects an unanswered request by itself and e-mails you.
Book these services separately
One website checkout makes one booking, so a single service that waits makes the whole booking wait. Switch on Book services that need confirmation separately, in Configuration → Bookings under Services that need confirmation, and a cart with both kinds makes two bookings: one the customer pays straight away, and one that waits for you.
Each of the two shows the other under Booked in the same checkout. A package always stays in one booking, and the Sales app and the AI assistant always make one booking.
Questions we get asked
No. Their booking page offers no way to pay until you confirm it. To record a payment yourself, set the status to Unpaid first: Register payment then appears.
The form has unsaved changes. Save them first.
