How to run tours in several places with service areas
A service area is a place you operate in, such as a town or a region. Every business has one; add another for each place where you run tours.
What a service area changes
Tours and bookings
Each tour, rental and package belongs to one area, and a booking holds tours of one area only. Items, add-ons and variant templates serve every area.
What your staff see
With two or more areas, the Service area selector under your logo in the menu chooses the area your pages show. Each person's choice is their own.
Your widget and links
Your booking widget and booking links open one area. A booking's e-mails and voucher open its own area.
The lodging search
Each area can limit where customers' lodging search looks, and whether it finds any address.
Add a service area
- 1
Open Configuration → Service areas
Each area is listed with how many tours and bookings it has.
- 2
Click Add service area
Enter its Name and Country.
- 3
Move tours into it
Click Add tour and pick the area the tours are in now. Then pick a category, which moves with all its tours, or a tour without a category.
- 4
Click Create
The tours move with their bookings and departures.
TourTask refuses a move that would leave a booking with tours of two areas: Conflicting bookings lists those bookings. Remove or split them, then try again.
Work in one area
With two or more areas, choose an area under Service area, at the top of the menu. Tours → Manage, Tours → Seasons, Tours → Packages, Resources and new bookings work in that area, and a new tour is created in it. The operations calendar and Bookings → View show the area you choose, or every area under All.
Limit the lodging search
- 1
Open the area
Click the pencil on its row.
- 2
Switch on Use lodging search area
Enter the Radius (km), Latitude and Longitude of its centre, or drag and resize the red square on the map.
- 3
Choose what the search finds
With Allow any address on, it finds street addresses too, not only hotels.
- 4
Try it, then click Save
Test lodging search searches as your customers will.
Customers' lodging search, and your booking form's, then look inside the square only. Add a place they don't find under Manage custom lodgings: see Lodging.
Questions we get asked
All is chosen under Service area in the menu, and tours, seasons, packages, resources and new bookings work in one area at a time. Click the area you want on the page: the menu then shows it too.
One area per page: each page's code names its area. See Booking widget.
Only one with no tours and no bookings. Open it and choose Delete service area in its ⋮ menu.
