How to pay your guides, drivers and vehicle owners

Economy → Pay → Tours lists the jobs you still owe for, each with its provider and its cost. You record what you pay, and TourTask keeps track of what is left.

Pay a provider

  1. 1

    Open the page

Go to Economy → Pay → Tours. It lists the jobs to pay from the start of last month to today; change the Date range for others.

  2. 2

    Check the cost

Each row is one job: its Cost, what is Paid so far, and in Pay now what is left. Correct a Cost that changed.

  3. 3

    Tick the jobs

Tick Pay on each job to pay, or click Check all. A table below adds them up for each provider.

Jobs ticked, and each provider's total
  1. 4

    Open the payment

Click View and pay beside the provider. The dialog lists their jobs and the total.

  2. 5

    Mark it as paid

Leave Send e-mail notification on to send the provider the details, and click Mark as paid.

Paying one provider

Mark as paid records a payment you made yourself, by transfer or in cash: no money moves through TourTask.

Pay part of a job

Lower Pay now to the part you pay today. The job stays on the list until its payments add up to its cost, and next time Pay now starts at what is still owed. A bus hired for 400 USD:

PaymentYou payPaid so farStill owed
Before the tour200 USD200 USD200 USD
After the tour200 USD400 USD0 USD

A cost of 0, or no cost

A cost of 0 means you owe nothing for that job. It still waits on the list until you pay it as 0, so a 0 typed by mistake never disappears by itself.

A job with no cost blocks its provider's payment: their total reads UNSET until you enter a cost.

Salaried guides and your own vehicles

A provider set as Not paid per activity, such as a salaried guide or your own vehicle, has no cost on their jobs, which never wait here. Set it on the provider's Provider tab under Users → Manage, or on a vehicle under Vehicles.

  • To pay such a provider for one activity, switch on Paid for this activity on that job: click Not paid per activity on the operations calendar, or use the job's menu (⋮) in the booking form. It works the other way too.
  • A later change of the provider's own setting reaches only their jobs from today on that have nothing paid and that nobody switched by hand.

Pay per passenger

A job costs one amount for the activity (Per tour) or an amount for each passenger (Per pax): switch it with Cost mode, in the menu (⋮) beside Cost. Per pax, enter the amount for one passenger, and the total shows under it.

It follows the passenger count: a booking added later puts the job back on the list for the difference.

Undo a payment

Open the job's Payments, click Void payment on the payment to undo, then Confirm. The payment stays listed as Voided, and its amount is owed again. Open Payments from:

  • this page: the Paid chip of a job paid in full, while its activity still has another job to pay;
  • the booking form of a private tour or a custom item: the receipt icon beside the job's payment status.

Standard fees

A provider's usual fee for each tour is set as their Standard fees, on their Provider tab under Users → Manage (see Guides and drivers). TourTask offers it as the job's cost when you assign them in the booking form or offer them work.

Questions we get asked

Its date is outside the Date range, it is paid in full, its provider is not paid per activity, or it belongs to another service area than the one you are working in.
