How to set up your guides and drivers in TourTask
Give each guide, driver or partner company who works your tours the Provider role. You can then give them jobs, offer them work and pay them.
Make someone a provider
- 1
Open the person on Users → Manage
Click their row, or click Create new user.
- 2
Switch on Provider
The Provider tab opens below.
- 3
Say how they are paid
Switch on Not paid per activity for someone on a salary: their jobs then ask for no cost.
- 4
Choose their reminders
Under Staff reminders, Disable SMS or Disable email stops those reminders to them.
- 5
Click Save
With Send welcome email on, a new user chooses their password from the e-mail.
Standard fees
A standard fee is what you usually pay this provider for one tour's job, such as guiding it.
- 1
Pick a Tour and a Component
Under Standard fees, in the Provider tab.
- 2
Click Add
A row for that tour and job appears.
- 3
Type the fees
Under Private and Group, in your operating currency, then click Save.
TourTask offers the fee as the job's cost when you assign this provider in the booking form, or when you offer them the job. It never changes a cost by itself, and Pay your providers pays each job's own cost.
My calendar: their own jobs
Each provider sees their own jobs under My calendar, with the jobs of the vehicles they own. They choose the dates, hide or filter what they see, add notes, export it to Excel and open a group's passenger list, but change nothing else. Only users with the Provider role have it: an administrator without the role does not.
Jobs, offers, pay and the app
Assign jobs
Put a guide or driver on a tour from the operations calendar. See Assign guides and drivers.
Work offers
Offer open jobs; providers answer by e-mail, under My work offers or in the app. See Work offers.
Pay
Pay what each job cost under Economy → Pay → Tours. See Pay your providers.
TourTask Crew
Their jobs, offers and alarms on an Android phone. See TourTask Crew.
Questions we get asked
No. The Provider role alone opens My calendar, My work offers and TourTask Crew.
No. They see only their own jobs and those of their own vehicles, and only their own costs.
