How to import your bookings from FareHarbor

Export one report from FareHarbor and upload it as it is: TourTask maps its columns for you. Create your tours in TourTask first.

Export the report from FareHarbor

  1. 1

    Open the report

In your FareHarbor Dashboard, open Reports → Operations → Booking details.

FareHarbor's Reports: Operations, then Booking details.

  1. 2

    Choose the dates

Under Dates, keep Report on: Availability date, the tour date. Choose a custom range from today to at least a year ahead, or start earlier to bring past bookings too.

  2. 3

    Choose every column

Under Columns, keep Detailed report and click all next to Booking columns.

  1. 4

    Generate it

    Click Generate.

  2. 5

    Download the CSV file

Click the download icon, Download CSV.

Don't open the file in Excel

Saving it from Excel can change its dates and prices, and TourTask then refuses it. If you opened it and saw everything in one column, the file is fine: upload the original download.

Import it into TourTask

  1. 1

    Open the importer

Go to Bookings → Import and click FareHarbor.

  2. 2

    Upload the file

Click Choose your FareHarbor export, or drop the file in. TourTask shows what it found: the bookings, the tours and the tour dates. Leave Import cancelled bookings as cancelled on to keep your history complete, and click Next.

  3. 3

    Match your tours

Pick the TourTask tour for each FareHarbor item. Items named exactly like one of your tours, or matched in an earlier import, are done already. For a tour you sell both privately and in groups, choose Private tour or Group tour.

  4. 4

    Check and import

Read the preview's Things to check and click Next, then the import button with the number of your bookings, such as Import 25 bookings.

This export can't be imported yet says what to fix, such as columns to add. Export the report again with the steps above, then click Upload the new export.

What you get

  • The items of one FareHarbor order become one booking with several tours, and so do one customer's tours of the same trip.
  • FareHarbor's prices are kept, and what was paid becomes a payment of the type FareHarbor.
  • Every passenger is imported as an adult: the report has no passenger types.
  • A group-tour booking joins the TourTask departure at its start time, so your tours' start times must match FareHarbor's.
  • Not imported: affiliates, agents and desks, marketing consent, and the date each booking was made.

Questions we get asked

Their item has no tour, you chose Don't import these bookings, or a group booking starts at a time its tour doesn't run in TourTask. The preview lists each one.

Yes. Bookings already imported are skipped by their FareHarbor booking ID, so export a new range and upload it.
