How to choose which backoffice pages your staff can open
Staff are users with the Administration role. Each one opens only the pages you give them, unless you make them an Admin.
Give a staff member their pages
- 1
Open the staff member
On Users → Manage, click their row, or click Create new user.
- 2
Switch on Administration
Its tab opens below, with the menu's pages: green rows are open to them, red rows are not.
- 3
Click a section's row
A section's row, such as Bookings, turns the section on or off with all its pages.
- 4
Click the pages they should not have
A page's row turns that page alone on or off.
- 5
Click Save
The change applies the next time they open or reload a page.
A page given without its section still shows in the person's menu, inside its section. Dashboard has a padlock: every staff member has it. The list shows only the features your business uses: Cruise ships, for example, appears once you switch it on in Configuration → General.
Admin: every page
Switch on Admin at the top of the Administration tab to open every page, including pages TourTask adds later. Only an admin sees the switch, so only an admin can make someone else an admin. A few things stay with admins, whatever pages others have: Can record payments in the sales app, the setup checklist and the distance tracking settings.
Pages that follow another page
These pages have no row of their own: whoever may open the page beside them opens them too.
| Page | Opens with |
|---|---|
| A booking's page, Bookings → Import | Bookings → Create |
| A new tour, a tour's editor | Tours → Manage |
| Inbox, Channels, AI assistant | Customer relations → Messages |
| The Tour cost effectiveness report | Economy → Reports |
| The vehicles' distance tracking report | Vehicles |
| A group's passenger list | Operations calendar, Tours → Group tours → Planning or Tours → Cruise ships → Groups planning, and the group's own guides and drivers |
| My calendar, My work offers | The Provider role: see Guides and drivers |
| Lodging pax | The Lodging role: see Partner hotels |
| Your own Settings | Everyone |
Questions we get asked
Its section is probably red: give the section too. Then ask them to reload the page.
Admins, and staff given Users → Manage. Only an admin can give Admin.
