How to send automatic follow-up e-mails to past customers

A follow-up e-mail reaches each customer a set time after their last tour: a thank-you, an offer for a friend, an invitation to come back next season. You write it once, and TourTask sends it in each customer's language.

Create a follow-up e-mail

  1. 1

    Start it

Go to Customer relations → Follow-up emails and click Create follow-up email.

  2. 2

    Name it and time it

Enter a Name, which only your staff see. Under Send after, choose a number of Days or Months after the customer's last tour, then the Delivery hour. Click Create.

A follow-up e-mail sent six months after the last tour.
  1. 3

    Write it

On the e-mail's page, under Content, write the Subject and the e-mail: text, images, buttons, lists, dividers or two columns. Your logo on your brand colour is added at the top.

  2. 4

    Check it

Click Preview to see it as a customer gets it.

  3. 5

    Switch it on

Switch on Active and click Save.

When it goes out

  • Each booking gets it once, the chosen time after the end of its last tour, at the Delivery hour in your time zone.
  • Only customers whose date comes after you switch it on get it. Switching it on, or changing its timing, never mails your past customers all at once.
  • A booking whose Distribution channel is an online travel agency gets none: its customer is the agency's.
  • A customer who unsubscribes gets no more follow-up e-mails from you. Review requests have an unsubscribe link of their own.

Languages

Each customer gets the version in their own language. Write one version and save: TourTask translates it into your other site languages, and Add language adds one to write yourself.

The Fallback language is the version a customer gets when their language has none. The e-mail can't be switched on until that version has a subject and a body.

Images

Click Images to upload pictures once and use them in every follow-up e-mail. For a picture with words in it, upload one file per language.

Questions we get asked

No. A follow-up e-mail only reaches customers whose date comes after you switch it on, so it never sends a batch to your whole history.

Yes, once for each booking.

Switch off its Active switch in the list under Customer relations → Follow-up emails. To remove it for good, click its Delete button.
