How to register the odometer reading in TourTask Crew
When a tour uses a vehicle whose distance your business tracks, TourTask Crew asks for its odometer at Start tour, and again at End tour. You need the vehicle in front of you, with the ignition on.
Registering a reading
- 1
Press Start tour
Open the job in TourTask Crew and press Start tour. The odometer screen opens for each tracked vehicle of your job, one after the other.
- 2
Show the total
Turn the ignition on and show the total distance, marked ODO, not the trip meter. How do I show the total? explains how on your vehicle.
- 3
Take the photo
Press Take photo and frame the odometer. In the dark, turn the torch on.
- 4
Check the number
An AI reads the photo and puts the number in the field. Compare it with the dashboard, and correct it if it differs.
- 5
Confirm it
Press Confirm. When the number looks wrong, such as a missing digit or lower than the last reading, the app asks you to check it first.
- 6
Register the end reading
When the tour ends, press End tour and register the end reading the same way, or press Skip.
When a reading is not straightforward
- No photo: type the number from the dashboard and press Confirm. Your office sees that it was typed.
- No signal: type the number. The reading and its photo wait on the phone and are sent once the connection is back, if that is within 3 days.
- Another vehicle than planned: press I’m in another vehicle and pick yours. The reading goes to it.
- Driving that is no tour: Add another trip declares a trip for fuel, the workshop or another reason, with its distance. Your business counts it as expected.
- Already registered: the first reading registered counts for the whole crew, and the job's screen says who registered it and when.
- A tour of several days: the start reading is taken on its first day, the end reading on its last.
- Skipped: a skipped start reading counts as missed until someone registers it later, with Register on the job's screen.
Your own readings
In TourTask Crew, Settings → My readings lists the readings you registered, with any the office corrected or voided, and those still waiting on your phone to be sent.
What your office sees
Each reading appears on the vehicle's page of the distance tracking report, under Readings, with how it was registered. Administrators also see its photo and who registered it.
A reading that doesn't fit the readings around it waits under Readings to check until an administrator checks it. A tour with no start reading is listed under Missed start readings, and the dashboard warns administrators when one person misses 3 in a row.
Questions we get asked
Your business tracks the vehicle's distance: it compares the readings with the planned distance of its tours, to see whether the vehicle drives more than they explain.
No. The photo is always taken in the app, at the moment of the reading.
Take another photo, or type the number. The same goes when your business's AI allowance is used up: a reading never waits for the AI.
No. A reading holds the number, its time and its photo. Location sharing is separate.
